How to Quickly Make a Copy of a Google Sheet

A quick step-by-step guide on how to copy a shared Google Sheet so you can edit it yourself. Perfect for using budget templates and other shared resources.

How to Quickly Make a Copy of a Google Sheet

If you’ve ever clicked on a shared Google Sheet link and wondered how to make your own editable copy…

…you’re in the right place!

This quick guide will show you exactly how to copy any Google Sheet so you can customize it for your own use.

This is especially useful when using templates like my Personal Budget Template or any other shared spreadsheet resource.


Step 1: Open the Google Sheet

First, click on the link to the Google Sheet you want to copy.

The sheet will open in “view only” mode if the owner hasn’t given you edit access.

Don’t worry — you don’t need edit access to make your own copy!


Step 2: Go to File → Make a Copy

Once the Google Sheet is open:

  1. Click on File in the top menu bar
  2. Select Make a copy from the dropdown menu

A dialog box will appear asking you to name your copy and choose where to save it.


Step 3: Name Your Copy and Choose Location

In the dialog box:

  1. Name — Give your copy a descriptive name (e.g., “My Personal Budget 2024”)
  2. Folder — Choose where to save it in your Google Drive
  3. Share it with the same people — Usually leave this unchecked unless you want to share with collaborators

Click Make a copy to create your personal version.


Step 4: Start Editing!

Your copy will automatically open in a new tab.

This version is 100% yours — you can edit, delete, and customize it however you want without affecting the original.

The original shared sheet remains untouched.


Alternative: Download as Excel or CSV

If you prefer to work offline or use Microsoft Excel:

  1. Click File in the top menu
  2. Hover over Download
  3. Choose your preferred format:
    • Microsoft Excel (.xlsx) — Best for Excel users
    • Comma-separated values (.csv) — Best for data import
    • PDF — Best for sharing a static version

Quick Tips

  • Can’t find “Make a copy”? Make sure you’re signed into your Google account
  • Want to share your copy? Click the blue “Share” button in the top right
  • Need to update formulas? Your copy includes all the original formulas and formatting
